Duties & Responsibilities
Reporting to the Architecture Department Manager, this position performs a wide range of high-level administrative support with accuracy, discretion, and good judgment across the GSD’s academic departments.
- Shares in serving as first point of contact/information source for Department of Architecture with faculty, staff, students and the public via phone/email/in person.
- Offers administrative support to a senior faculty member, including complex travel arrangements, drafting correspondence, letters of recommendation, and calendaring.
- Orders office supplies on behalf of the academic departments, distributes mail daily for each department, and organizes mail room needs.
- Updates faculty office labels and mailboxes at the start of each semester. Assists with documentation (GSD campus maps and faculty database) of office assignments.
- Coordinates cross-departmental logistics for events such as final studio reviews, thesis reviews, and studio review receptions; catering, flower orders, hotel bookings, room reservations, and communication of details to the GSD community.
- Manages room bookings/catering needs for departmental lectures and other events/special circumstances.
- Coordinates/promotes academic department events including public and department lectures/workshops.
- Works frequently with Academic Affairs staff and other departments across the GSD to coordinate/execute department and School-wide tasks including studio lottery preparation, admissions, search committee meetings, pre-term workshops, orientation, open houses, welcome receptions, end-of-year celebrations, commencement, and other ad hoc or special events/initiatives.
- Assists in updating/maintaining departmental, program, and faculty information on GSD website/faculty database (Digital Measures).
- Supports course evaluations processing and archiving for academic departments.
- Assists in collection of faculty information/materials for short-term purposes such as contact information, TA lists, office hours, and long-term purposes such as accreditation materials.
- Coordinates collection and review of course syllabi for content quality and consistency.
- Coordinates Core Studio end-of-semester parties.
- Manages ad-hoc departmental archiving projects and serves as the point person for all academic department archive needs.
- Provides accreditation support for academic programs as necessary.
- Coordinates travel for guests as needed.
- Coordinates student desk labeling and tray mapping on a semesterly basis in coordination with departmental program coordinators.
- Coordinates group student travel as needed.
- Website management of cross-departmental pages including Option Studio lottery resources and school-wide pages including COVID-19 resources and other academic planning pages.
- Creates and widely distributes Final Studio Review posters each term.
- Manages Final Studio Review scheduling and room reservations.
- Other duties as assigned
Basic Qualifications
- 2-3 years administrative experience in an office setting preferably in higher education.
- Strong computer skills required including proficiency with Microsoft Office, Adobe Creative Suite, email and calendar applications
- Exceptional oral and written communication skills.
- Excellent editing and proofreading skills required.
- Outstanding customer service skills.
- Ability to work as part of a close team of staff sharing responsibilities when necessary to meet the needs of the department.
Additional Qualifications
- Bachelor’s degree
- Experience in an academic environment preferred.
- Professional manner and excellent organizational skills.
- Must work with confidentiality and have good judgment.
- Demonstrated ability to prioritize and execute multiple tasks simultaneously
- Must be a self-starter and have excellent follow-through skills.
- Must be able to interact professionally with all levels of staff, faculty, potential donors and the public.
- Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
- Proven flexibility and willingness to work in a fast-paced, changing environment.
Additional Information
Note: Must be willing to work Monday-Friday, 9-5, and overtime during peak periods.
