About the Role:

PeaceTech Lab is looking for an energetic, mission-driven, sociable, and highly organized Special Assistant to work closely with the CEO and President, as well as provide operational and programmatic support for the organization. This is a multifaceted role, allowing candidates to engage with the full spectrum of the Lab’s work from executive assistance to operational support and project management.

 

Compensation is commensurate with education and experience.

Duties and Responsibilities:

 

Support and Thought-Partnership for CEO and President

  • Prioritize tasks, conduct daily briefings, and set schedules for the President.
  • Demonstrate a high degree of sensitivity, discretion, and judgment in managing the Executive and Board affairs.
  • Collaborate with CEO and President to develop a consistent internal communications system and help align team around strategic goals and vision.
  • Provide written support for the President, preparing letters, correspondences, speeches, pitch decks, and other proposals as needed.
  • Serve as a strategic thought-partner to the President by workshopping ideas, planning projects, and aligning the Lab’s strategic goals.
  • Help draft and conduct background research for op-eds, concept papers, and other publications.

 

Team Oversight and Operations

  • Liaise with the Board of Directors, scheduling Board Meetings, and arranging travel for Board Members as needed.
  • Help plan and facilitate weekly team meetings.
  • Train and supervise other support staff as necessary.
  • Liaise between the President, Directors, and other Lab staff.
  • Assist with the planning and execution of events as needed, as well as the organizing of Lab outings, team building events, and celebrations.
  • Manage and oversee the internship program by cultivating relationships with universities and fellowships, writing and publishing job postings, and recruiting, onboarding, and overseeing interns.
  • Provide support to the Lab’s operations, finance, and HR team members as needed.

 

Executive Project Management

  • Provide coordination and management support various projects and programs in the executive office, potentially including those on mis/dis-information, corporate engagement, and election violence prevention.
  • Develop project timelines, workflows, and budgets as needed.
  • Liaise with partner organizations to align responsibilities and coordinate project updates.
  • Provide strategic guidance and administrative support to projects as needed.
  • Conduct research and prepare research briefings memos on a range of topics including international organizations, current issues in tech and social media relevant to the Lab, potential organizational and HNWI partners, and other ad-hoc research tasks as needed.

 

Desired Qualifications:

This position requires exceptional efficiency, analytical skill, and attention to detail, as well as strong communication and administrative skills working with senior level VIPs, Board members, and others. Good writing skills are essential. The candidate should possess excellent interpersonal skills and be a strong team player with a positive attitude and high ethical standards. Discretion and confidentiality are critical to this position. The position requires strong computer and Internet research skills. Experience with event planning is a plus. A background in media, technology, peacebuilding, development or related fields is a significant plus. Bachelor’s degree required; Master’s degree and/or experience in a related position preferred.
