CBS News seeks an experienced Executive Assistant/Bureau Coordinator to work in our fast-paced News environment, assisting and supporting our Washington, DC Bureau Chief.
Responsibilities:
• Provide executive-level administrative support including meeting and travel planning, managing of expense reports, filing, and other administrative duties
• Screen incoming calls, correspondence, and interoffice materials
• Ability to be pro-active, anticipate scheduling/organizational challenges and suggest solutions in a timely manner
• Produce executive level presentations and documents using various presentation software programs including Microsoft Suite
• Organize, proofread, copy, scan, file, and track a variety of business documents in a secure manner
• Demonstrate solid judgement in managing and coordinating the Bureau Chief’s calendar while keeping him apprised of changes, actions items, messages, and relevant business issues – both internally and externally.
• Utilize good judgment in handling inquiries from vendors, candidates, employees, and resolve concerns/issues, as necessary
• Plan and coordinate bureau and leadership events including staff meetings, senior leadership team meetings both on and off-site. This includes managing all aspects including vendor selection, catering, audiovisual, and other logistics
• Prepare, manage, and submit expense reports and reconciliations
• Prepare and coordinate travel arrangements and itineraries as necessary
• Prepare and distribute bureau communications as needed on behalf of the Bureau Chief
• Work with the Bureau and Deputy Bureau Chief to create and distribute staff schedules
• Track and maintain a bureau staff time off calendar, inclusive of correspondents and senior leadership team members
• Collect & coordinate preliminary review/audit of timesheets in preparation for Bureau and Deputy Chief approval
• Enter timesheet information for Bureau Chief and Sr. Leadership team as requested
• Work with Chief and Deputy Chief to prepare and distribute bulletin and Streaming correspondent schedule
• Work with Finance to order office supplies as needed for the Bureau and Deputy Bureau Chief
• Partner with HR to ensure bureau access and security manners are flagged and addressed in a timely manner
• Work with the Special Events team to ensure satellite office (White House, Capitol Hill, Pentagon, etc.) credentials are requested, secured, renewed, tracked and returned to the issuing agencies in an orderly and timely fashion
• Assist with short and long-term projects and research as requested
• Other duties as requested
Qualifications:
• Understanding of news and current affairs
• Ability to work flexible hours and possible weekend (overtime as needed and approved)
• Self-starter with a positive can-do attitude
• Must possess a professional and friendly demeanor
• Be comfortable interacting with internal and external executives, high-level managers, organizations, and confidential information
• Strong written and verbal communication
• Ability to work effectively individually and as a member of a strong team
• Strong interpersonal skills
• Exceptional attention to detail
• Ability to learn and stay up to date on Paramount technologies and initiative
• At least 3 years of related experience within the broadcast industry
• Excellent computer skills with proficiency in MS Office Suite and social media
• Self-starter, who can adjust quickly to changing environment and is extremely detailed-oriented
• Proactive approach with the ability to seek out answers and resources
• Exceptional ability to prioritize, manage time and balance numerous projects and deadlines in an extremely fast-paced and high-volume environment
• BA/BS from an accredited University or College preferred
