Magnitax.com is a fast growing accounting and tax preparation company. We are seeking a talented, organized and driven Administrative Assistant to join our team. Assistant should ensure the efficient and smooth day-to-day operation of our office. Duties include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
The Administrative Assistant position is primarily responsible for performing
routine clerical and administrative functions such as drafting correspondence, organizing and maintaining paper and electronic files, and collecting online data for transmission to another online data platform. The candidate will handle a wide variety of important activities and sometimes confidential matters with discretion and at the direction of the CEO .

Responsibilities:
- Record customer information within our customer service database
- Engage with clients in a friendly and professional manner while actively listening to their concerns
- Offer support and solutions to customers in accordance with the company’s customer service policies
- Contribute to team effort by accomplishing related results as needed
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Write letters and emails on behalf of other office staff
- Sets up and maintains paper and electronic filing systems for records, correspondence, and other material.
- Cover the reception desk when required
- Maintain computer and manual filing systems
- Handle sensitive information in a confidential manner
- Reply to email, telephone or face to face enquiries
- Develop and update administrative systems to make them more efficient
- Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
Requirements:
- Hard-working and team-oriented
- Bilingual preferred; able to read, write and speak both Spanish and English proficiently.
- Proven admin or assistant experience
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office
- High school diploma or equivalent; college degree preferred
