Summary:
The mission of the Office of Diversity, Inclusion, and Belonging is to cultivate and sustain an environment at the Harvard Graduate School of Design (GSD) that increases diversity, deepens inclusion, and advances a sense of belonging among students, faculty, staff and our extended community. The GSD believes in equipping students with the skills to design spaces for all people to navigate. To accomplish this, we prioritize the innovation and reflection that comes from recognizing diverse perspectives and experiences and creating space for them in our community. Our diversity, inclusion, and belonging focus areas include recruitment and retention, community engagement, representation, and assessment.
Administrative Support:
Provides administrative support to the Asst. Dean of Diversity Inclusion and Belonging
- Manages and coordinates the Asst. Dean’s calendar, arranging complex meetings and handling meeting material preparation, media prep, briefing materials, and other logistics
- Determines priority status of meeting requests; triages requests; refers and schedules as appropriate
- Arranges for meetings, appointments, and travel arrangements, adhering to University guidelines
- Prepares/submits all reimbursement reports in Harvard Financial Systems. Maintains financial reports of expenditures
- Performs other duties as required to ensure the smooth operation of responsiveness of the Asst. Dean’s office
- Provides wide ranges of support including, but not limited to, typing, composing and editing letters, memoranda, reports, and presentations
- Monitors spending, tracks expenses, processes invoices and reconciles corporate cards
- Monitors and orders office supplies and resources
- Provides adaptive support on projects and tasks that address the shifting unforeseen needs of stakeholder groups. Flexibility, priority-setting, and re-prioritizing are essential
- Supports department events, and acts as a member of the administrative team providing backup when necessary
Programmatic Support:
- Manages all multifaceted logistics (remote/in-person) related to events, including coordinating with other departments, speakers, attendees, facilities, media services, ordering catering, other vendors as needed, and event registration, set-up, and take-down.
- Assists with event-related travel and budget planning
- Works closely with the Department on event promotion, outreach, and responding to event- related inquiries
- Develops and tracks event success measures
- Drafts and edits department publicity materials
Basic Qualifications:
- 3+ years related experience required; a combination of education and experience may be considered
- Proficient in Microsoft Office Suite
- Experience with Canvas, Qualtrics and Zoom
Additional Requirements:
- Bachelor’s degree
- Strong organizational skills; attention to detail; customer service and time management skills
- Demonstrated initiative
- Ability to prioritize and execute multiple tasks and meet deadlines with minimal supervision
- Solid writing, editing and proofreading skills
- Excellent interpersonal skills and ability to communicate professionally with diverse stakeholder groups
- Ability to handle complex and confidential information with discretion.
- Ability to balance multiple projects and tasks simultaneously, take initiative and work independently as well as collaboratively with a variety of internal and external constituents
- Experience supporting senior leaders and an ability to develop strong relationships across complex organizations
- Interest in diversity, inclusion and belonging
Physical Demands:
There are no known physical requirements associated with this position.
Work Environment:
Work is mainly performed in an office setting.
Additional Information:
PLEASE NOTE: During the current period of Covid-19 related restrictions, this position may start as a remote position, with the transition to onsite in Cambridge when the office reopens.
